Shift Master


This form is used to add and delete shifts and update shift information. This is very important part of manpower planning and time office management in general. Here, various parameters and business rules are set for each of the shifts. You can attach Shift Pattern to the Employee, and thereby reduce the work load and automate shift scheduling.

Lets us see the form fields in detail;

Shift Id: This is primary key of the Shift. Please note that Shift Id 0 is reserved for No Shift which has got pay period and shift period as 0. Also note that Shift Id 1 is reserved for Weekly Off (WO) which has got pay period as 1 and shift period as 0.

Shift Name: This is for human recognition. Shift Name should be one letter or at maximum two letters. If it is more than this, it might cause confusion in the manpower planning interface.

e.g. G - General Shift (10am - 6pm)
       I - First Shift (7am - 3pm)
       II - Second Shift (3pm - 11pm)
       N - Night Shift (11pm - 7am)
       D - Domestic Shift
       U - US Shift
       A - Australia Shift
       K - UK Shift

From Time: This is the scheduled in time for employees of this shift.

To Time: This is the scheduled out time for employees of this shift.

Late Mark Time Business Rule: This is time for this shift after which person will be reported late. To re-state, if a person marks his/her time stamp before late mark business rule timing, he/she shall not be marked late. How-ever, if the time stamp is after the late mark business rule timing, a "Late In" flag would be marked.

Half Day Time Business Rule: This is time for this shift after which person will be reported as worked for Half Day only. To re-state, if a person marks his/her time stamp before half day business rule timing, he/she might be marked as full day present (depending upon other time event
processing business rules like Minimum Time for Full Day or Minimum Time for Half Day). How-ever, if the time stamp is after the late mark business rule timing, person will be marked at maximum Half Day (depending upon other time event processing business rules like Minimum Time for Full Day or Minimum Time for Half Day).

Low Time Business Rule: If Employee comes in after this time, he/she would be marked absent for the day if employee belongs to this shift for the day.

Pay Period: This is the Payment in terms of Days an Employee is entitled if employee is scheduled to come in this shift and does so.

Shift Period:  This is work day for the shift. Normally, an 8 hour shift will have work day of 1, a 16 hour shift of 2, a 12 hour shift of 1.5 and a four hour shift of 0.5.  Night Flag If the To Time of the shift transcends to next date (i.e. if it is after midnight) this flag should be checked on.

Summary:
The business rules can be thought in this manner:
If Time In between From Time and Late Mark BR: Marked N ormal
If Time In between Late Mark BR and Half Day BR: Marked Late
If Time In between Half Day BR and Low Time BR: Marked Half Day
If Time In between Low Time and To Time: Marked Absent for the day.


Let us see how it works;

Click on Master >> Holiday (Alt + M + S) to open the form.

Add Shift:

  • Click on New button (Alt + N) to add new entry to master.
  • Enter Shift ID, From Time, To Time, Late Mark BR, Half Day BR, Low Time BR, Shift Name, Shift Period, Pay Period.
  • Click in the check box of Night Shift Flag if require.
  • Click on Add (Alt + A) button to save that entry.

Edit Shift:

  • Select Shift from the list.
  • Click on Edit button (Alt + E) to edit selected entry.
  • Click on Save button (Alt + S) to save edited information.

Delete Shift:

  • Select Shift from the list.
  • Click on Delete button (Alt + D) to delete selected entry from masters.

Both processes, i.e. adding new entry and editing existing entry can be aborted by clicking on Cancel (Alt + C) button.

Click on Refresh (Alt + R) button to reload the entries from database onto form.

You can export master data to Excel sheet using the Export (Alt + X) button.
